Google Workspace vs Microsoft 365 for AI at a small firm
By the InTheory team · Updated November 2026
Short answer: Do not switch suites for AI alone. Google Workspace includes Gemini in its business plans, which makes AI simple to roll out across a team. Microsoft 365 includes Copilot Chat with eligible plans, and its paid Microsoft 365 Copilot works deeply inside Word, Excel, Outlook and Teams. Pick the suite that fits how your firm works and what your clients and software expect, then use its AI well.
| Google Workspace | Microsoft 365 | |
|---|---|---|
| AI included in business plans | Gemini in Gmail on Starter; in Gmail, Docs, Meet and more from Standard | Copilot Chat at no additional cost with eligible plans |
| Paid AI upgrade | Included in plan tiers; check current plan details | Microsoft 365 Copilot Business add-on, or bundles with Copilot |
| Business plan size limit | Starter, Standard and Plus up to 300 users | Business plans up to 300 users |
| Data training | Google states company data is not used to train models | Microsoft states business data is not used for AI training |
| Desktop apps | Browser-first | Full desktop Office apps on most business plans |
| Industry software fit | Works with most cloud apps | Some vertical software expects Outlook or Excel |
AI is now part of both suites
Google has folded Gemini into Workspace business plans, so most users get AI help in email and documents without a separate license. Microsoft gives eligible users Copilot Chat, and sells Microsoft 365 Copilot for deeper use inside its apps. The practical difference is cost per heavy user and how deeply AI reaches into your files.
Why switching is rarely worth it
Moving email, files, calendars and permissions is disruptive. Desktop Excel models, Outlook add-ins for practice management, and client expectations about Word documents can all make a move from Microsoft painful. A move the other way can upset staff used to Google's sharing model. Use the AI in the suite you have, unless you are already planning a move for other reasons.
Preparing either suite for AI
AI assistants see what each user can see. Clean up shared drives, remove old external sharing links and check who can access HR and finance folders. Write a one-page policy on what client data staff may use with AI. Then pilot on one workflow, such as summarizing meeting notes into the CRM.
Choose Google Workspace if
- Your team already works in Gmail, Docs and Drive
- You want AI included across most users without a separate add-on
- Staff work mainly in the browser
- You value simple sharing and real-time collaboration
Choose Microsoft 365 if
- Your firm relies on desktop Excel, Word or Outlook
- Your industry software integrates with Microsoft 365
- You want AI inside Teams meetings and Office documents
- Your MSP manages security through Microsoft tools
Common questions
Do I need to pay extra for Gemini in Google Workspace?
Google's pricing page lists Gemini features in its business plans, with more apps covered on Standard and above. Check the current plan page for what each tier includes.
Is Copilot Chat enough, or do we need paid Copilot?
Many staff will be fine with Copilot Chat for drafting and questions. People who live in Outlook, Word and Excel, and want AI working with their own files and meetings, are the candidates for paid seats. Pilot with a few before buying for everyone.
Can we use ChatGPT or Claude with either suite?
Yes. Both ChatGPT and Claude business plans offer connectors to Google Workspace and Microsoft 365. Admins may need to approve the connection, and your AI policy should cover which tools are allowed.
