Days sales outstanding (DSO)
The standard measure of how long it takes to get paid. Track it monthly against a baseline.
Many profitable service businesses are short of cash for a simple reason: they do the work, then wait too long to invoice and too long to chase. Invoices go out at month end in a batch. Reminders depend on whether the bookkeeper has time. Owners avoid awkward calls with good clients, and a growing share of revenue sits past 60 days.
Collections automation makes the routine part consistent. Invoices go out when work is complete, with a clear due date and a way to pay online. Friendly reminders follow a set schedule. Anything unusual, such as a dispute, a payment plan request or a key client relationship, goes to a person. The result is less chasing, fewer forgotten invoices and better cash flow, without damaging relationships.
Trigger invoices from job completion, milestone sign-off or a set billing date in your job, practice or accounting software, such as QuickBooks Online, Xero, Jobber or Clio. Speed to invoice is often the biggest single gain.
Include a clear due date, an itemized summary and an online payment link on every invoice. Offer the payment methods your clients actually use, and check processing fees with your provider.
A typical pattern is a courtesy note before the due date, a reminder on the due date, and follow-ups at 7, 14 and 30 days overdue. Each message is short, polite and approved by the business.
Replies that mention a dispute, hardship, an error or a payment plan stop the automation and go to a named person. Key accounts can be excluded from automated reminders and handled personally.
A short weekly review of the aging report decides on calls, holds on further work or other next steps for accounts past a threshold. Decisions about escalation stay with the owner or finance lead.
| Approach | Best fit | Notes |
|---|---|---|
| Settings in your accounting software | Most small and mid-sized service businesses using QuickBooks Online, Xero or similar tools. | Many accounting platforms include automatic invoice reminders and online payment options. Switching these on with better wording is often the cheapest win. |
| Job or practice management billing | Businesses that bill from field service, legal or practice software rather than directly from accounting. | Jobber, Housecall Pro, Clio and others include invoicing and reminder features. Keep one system responsible for reminders so clients do not get duplicates. |
| Accounts receivable automation tools | Higher invoice volumes, complex reminder rules or a need for a client payment portal and reporting. | Dedicated AR tools add features such as tailored sequences and dashboards. Check current pricing and how they sync with your accounting system. |
| AI-assisted replies and triage | Many client replies to reminders that staff must read and route, such as remittance notes, questions and disputes. | An assistant can sort replies and draft responses for review. It should never agree to payment plans, write-offs or legal steps without a person approving. |

| Risk | Mitigation |
|---|---|
| Automated reminders that sound aggressive or reach a client in the middle of a dispute, damaging the relationship. | Use friendly, plain wording, pause reminders automatically when a dispute is logged, and let account owners exclude sensitive clients. |
| Reminders sent for invoices that were already paid, because payments were not recorded in time. | Reconcile payments frequently, sync payment status before each reminder runs, and include a line explaining what to do if payment was already sent. |
| Collections steps that cross into regulated territory, such as threatening language or handing accounts to third parties. | Keep automated messages to reminders only, and get legal advice before escalating, using a collections agency or changing terms. |
If you have a small number of clients who pay reliably and a bookkeeper who already follows up consistently, more automation may add little. It is also the wrong fix if the real problem is unclear pricing, disputed scope or poor-quality work. Clients delay payment when they are unhappy. Find out why invoices age before automating reminders.
QuickBooks Online supports recurring invoices, online payment options and automatic reminders, though available features depend on your plan and settings. A typical first step is reviewing invoice templates, setting a reminder schedule and enabling online payments. Check Intuit's current documentation for your plan.
Many businesses use three to five: a note before the due date, one on the due date, and a few after. More than that rarely helps and can irritate clients. After the last automated reminder, a person should call or decide on next steps.
Usually not if they are polite and accurate. Many clients appreciate a reminder because invoices get lost. Problems come from harsh wording, reminders on paid invoices or reminders during a dispute. Let account owners exclude a handful of sensitive relationships and handle those personally.
That is a policy decision that depends on your contracts, client relationships and local rules. If you charge them, state the terms clearly in your agreements and on invoices before applying them. Get advice on what your contracts and applicable laws allow before starting.
We would not use AI for collections conversations. Those calls often involve hardship, disputes or relationship decisions that need human judgment and care. AI can help by sorting replies, drafting polite emails for review and summarizing account history before a person calls.
