How do you automate invoicing in QuickBooks Online?
By the InTheory team · Updated November 2026
You automate invoicing in QuickBooks Online by setting up recurring invoices for regular work, turning on reminders for overdue invoices, enabling online payments, and connecting your job, time or practice management system so completed work creates the invoice. A person should still review unusual amounts before they go out. Check which features your plan includes.
Start with built-in features
For retainers and maintenance plans, recurring invoice templates remove monthly typing. Reminder emails for overdue invoices handle the first polite nudge. Online payment options make it easier for clients to pay on the spot. These are settings, not projects, and they are often left switched off.
Make sure your products, services and customer records are clean first. Duplicate customers and inconsistent item names cause most invoicing errors.
Connect the source of the work
Field service tools such as Jobber, Housecall Pro and ServiceTitan, and practice tools such as Karbon, Clio or MyCase, can sync completed jobs or time entries to QuickBooks Online. Where no direct integration exists, Zapier or Make can bridge the gap.
Measure days from job complete to invoice sent, days sales outstanding and the number of invoices corrected after sending. For example, cutting the gap between finishing a job and invoicing it often speeds up payment more than any reminder does.
