n8n vs Zapier: control and cost at scale, or simplicity?

By the InTheory team · Updated November 2026

Short answer: Choose Zapier if the people building automations are not technical and you value a large app catalog and fast setup. Choose n8n if you have technical help, run long or high-volume workflows, or need to self-host for data control. n8n's per-execution billing favors complex workflows; Zapier's per-task billing favors short, simple ones. Neither choice is permanent.

Who builds matters most

Zapier was designed so a sales coordinator could connect a form to a CRM in an afternoon. n8n gives more control over data, loops and error handling, but it expects comfort with technical concepts. If the person maintaining automations leaves, ask whether their replacement could pick up the work. That often decides the platform.

Where n8n pulls ahead

Workflows with many steps, like pulling a document, extracting fields with AI, checking them against the CRM and writing back to several systems, count as a single execution in n8n cloud. In Zapier, each step uses tasks. Self-hosting also lets firms keep workflow data on infrastructure they control, which can help with client confidentiality concerns.

Where Zapier pulls ahead

Zapier's catalog covers many small vertical apps that n8n may only reach through a generic HTTP request. Setup is faster, error messages are friendlier, and there is no server to patch. For a firm running a dozen modest automations, that simplicity is often worth more than the per-task cost.

Choose n8n if

  • You have a developer or technical partner to build and maintain workflows
  • Workflows are long, branching or high-volume
  • You want to self-host for data control or cost
  • You are building AI agent workflows that need fine control

Choose Zapier if

  • Non-technical staff will own the automations
  • You need connectors for many niche SaaS apps
  • You want no infrastructure to manage
  • Your workflows are short and volumes are moderate

Common questions

Is n8n free?

The self-hosted Community Edition is free to use for internal business purposes under n8n's Sustainable Use License, but you pay for hosting and the time to maintain it. Cloud plans are paid. Check n8n's current pricing page for plan limits.

Can I resell n8n workflows to clients?

The license restricts offering a product or service whose value comes substantially from n8n, such as white-labeling it. Building workflows for your own business is allowed. If you plan a client-facing service, read the license and contact n8n.

Does Zapier charge for AI steps?

Zapier states that AI steps, code and its SDK follow the same task-based model, drawing from a shared task pool. Usage rates can vary by AI model tier and connector type, so check Zapier's task usage rates for your workflows.
