What is CRM data hygiene?
CRM data hygiene is the ongoing practice of keeping customer records accurate, complete, deduplicated and current, so reports, automations and follow-ups built on the CRM can actually be trusted.
Data decays on its own. People change jobs, companies change names, the same client gets entered twice with slightly different spellings, and deals sit in an open stage for a year after they quietly died. Each problem is small. Together they make pipeline reports unreliable, send emails to the wrong people, and cause staff to stop trusting the system.
Hygiene combines a one-time cleanup with ongoing rules. The cleanup merges duplicates, closes stale opportunities, fills required fields and archives contacts who will never be relevant again. The rules prevent recurrence: required fields at key stages, dropdowns instead of free text, automatic duplicate checks, and a monthly review of records missing an owner or next step.
Good hygiene matters even more once you add automation or AI. A lead routing rule built on an empty industry field will route badly. An AI assistant summarizing account history will repeat whatever errors are in the record. Practical measures to track include duplicate rate, percentage of open deals with a next step date, and percentage of contacts with a valid email.
Example
For example, an IT services firm finds 4,000 contacts in HubSpot, roughly a quarter of them duplicates or former employees of clients, for example. A two-week cleanup merges and archives records, then a monthly report flags open deals without a next step. The sales lead reviews the report and decides which deals to close out.
