What is a data silo?
A data silo is a set of business information held in one system, department or spreadsheet that other people and systems cannot easily see or use, leading to duplicate entry, conflicting numbers and slower decisions.
Silos form naturally. Sales keeps notes in the CRM, operations tracks jobs in a field service tool, finance runs billing in accounting software, and a project manager keeps a personal spreadsheet that holds the most accurate status of all. Each system works for its own team. The trouble comes when someone needs the full picture, such as profitability by client or why a renewal was lost.
Common symptoms include staff retyping the same information into multiple systems, leadership meetings spent reconciling numbers, clients being asked for details they already provided, and reports that require a person to export and merge files by hand every week. These hidden costs rarely appear in a budget but show up as lost hours and errors.
Fixes range from simple to involved. Sometimes a native integration between two tools, already included in your subscription, removes the silo. Sometimes an integration platform or a reporting layer is needed. Sometimes the right move is consolidating two tools into one. Deciding which system is the record for each data type comes first, or integrations just spread the confusion.
Example
For example, a title and escrow company keeps transaction details in its production software, but marketing tracks referral partners in a separate spreadsheet. Nobody can easily see which real estate agents send the most closed files. The company connects the two through a scheduled export to its CRM, and the marketing lead reviews referral reports monthly.
