What is intelligent document processing?

Intelligent document processing, or IDP, combines OCR with AI to read documents, understand what each piece of information is, extract it into structured fields, and pass it to business software, flagging uncertain items for a person to check.

Where OCR stops at text, IDP keeps going. It classifies the document, so it knows a W-2 from a 1099 or a lease from an addendum. It finds the fields that matter, such as names, dates, amounts and account numbers, and assigns a confidence score to each. Then it sends the results to a review screen or directly into a system of record.

The review step is where IDP earns trust. High-confidence fields can flow through, while low-confidence ones are highlighted for a person to confirm. Over time you learn which document types and fields are reliable. Without that step, extraction errors slip quietly into client files, invoices and tax returns, and they are much harder to find later.

Good candidates are high-volume documents with a fairly consistent structure: intake forms, invoices, insurance cards, tax forms, lien waivers. Before buying, count your monthly volume by document type, estimate the minutes each takes today, and test vendors on a set of your own messy samples. Confirm where documents are stored and for how long, since many contain sensitive personal information.

Example

For example, a CPA firm during tax season could use IDP to read client-uploaded W-2s, 1099s and brokerage statements, extract the key figures and pre-fill an organizer for each return. A preparer reviews every highlighted field and ties totals to the source documents before anything goes into the tax software, in line with the firm's IRS Pub 4557 safeguards.
