What is an AI voice agent?

An AI voice agent is software that holds spoken phone conversations, using speech recognition, a language model and synthetic speech to understand callers, respond naturally and take actions such as booking, routing or capturing details.

Older phone systems used menus: press one for billing. A voice agent lets callers speak normally and responds in kind. Behind the scenes, it converts speech to text, decides what to say or do, and converts the reply back to speech, quickly enough to feel like a conversation. It can be used for inbound calls, outbound reminders or both.

The hard parts are rarely the talking. They are connecting to your scheduling system, knowing when to hand off to a person, and handling accents, background noise and upset callers well. A voice agent that cannot see real availability will promise times you cannot keep. One that never transfers will frustrate the callers you most want to keep.

Check the rules before going live. Recording and transcribing calls can trigger consent requirements that vary by state, and outbound automated calls fall under federal telemarketing rules. Telling callers they are speaking with an AI system is a sensible default. Measure answer rate, transfer rate, booking rate and the share of calls that need a callback.

Example

For example, an HVAC company in a cold snap could route overflow calls to a voice agent that captures the address, the problem and whether there is heat in the home. No-heat calls with vulnerable occupants are transferred straight to the on-call dispatcher. Routine calls become booking requests that the dispatcher confirms in ServiceTitan the next morning.
