Meeting notes to action items
Gemini notes from a client Meet call are turned into a task list and a draft follow-up email. The account lead edits the email and confirms any dates promised.
Younger and smaller service firms often run on Google Workspace: Gmail, a shared Drive, Calendar for scheduling and Sheets for job tracking. The upside is that everything is in one place. The downside is that a shared Drive grows without rules, and the master spreadsheet becomes the system of record nobody dares to touch.

Google's Gemini features work inside Gmail, Docs, Sheets and Meet on eligible Workspace editions. In Meet, the 'Take notes for me' feature captures notes in a Google Doc, gives late joiners a summary so far, and emails the organizer a recap link. Admins can require participants to consent before notes or transcripts start. For steps across apps, Apps Script, Zapier or Make fill the gaps.

Incoming requests are labeled by type, such as new inquiry, billing question or scheduling change, and common ones get a draft reply waiting for review.
A scheduled script flags rows with missing dates or owners and formats the tracker so it can feed a simple dashboard in Looker Studio.
A new client form creates a client folder from a template, files the uploaded documents and notifies the team, so onboarding starts the same way every time.
Staff ask Gemini to find and summarize past proposals or reports on a topic, which helps when writing a similar one, as long as the Drive is not full of drafts.
If the main pain is that nobody can find anything in Drive, AI search is a patch. A one-time folder structure and naming convention, plus an owner for each shared drive, is cheaper and lasts longer.
Google says 'Take notes for me' and other Gemini features need an eligible Workspace edition or Google AI plan. Editions and pricing change, so check Google's current comparison page before upgrading everyone. A pilot with a few heavy users is a good test.
Workspace business editions have admin controls for AI features and meeting consent. Review those settings and your client agreements. Firms handling health or legal information should confirm their obligations with counsel before using AI on those files.
Apps Script is free and good for Google-to-Google tasks if someone can maintain it. Zapier or Make are easier for non-developers and connect to CRMs and accounting tools. Pick based on who will fix it when it breaks.
