AI automation with Zapier

Zapier is usually the first automation tool a service business tries, because it connects to almost everything and a non-technical office manager can build a Zap in an afternoon. That ease is also the risk. Two years later there are 60 Zaps, half built by people who left, and nobody knows which one is sending duplicate invoices.

InTheory is independent and not affiliated with Zapier. Product names are trademarks of their owners.

Zapier now offers Zapier Agents, which can be built with help from Zapier Copilot, given company knowledge and set to work across what Zapier says is more than 9,000 apps. You can also add an AI step inside a regular Zap to classify, summarize or draft. For most firms, ordinary Zaps with one AI step are the right starting point.

Practical automations

Lead form to CRM with AI summary

Website form submissions create a contact in HubSpot or Pipedrive, an AI step summarizes the request and estimates urgency, and the owner gets a text or Slack alert.

Email attachment to the right folder

Documents emailed by clients are saved to the right client folder in Google Drive or SharePoint, renamed with a consistent pattern and logged on the client record.

Signed proposal to project kickoff

When a PandaDoc or DocuSign document is completed, Zapier creates the project in Asana, the customer in QuickBooks Online and a kickoff task for the account lead.

Review request after job completion

A completed job in Jobber or Housecall Pro triggers a review request a day later, skipped automatically if there is an open complaint.

Inbox research agent

A Zapier Agent looks up a new prospect's company website and adds a short background note to the CRM record before the first call. A person checks it before relying on it.

Pitfalls to avoid

  • No owner or documentation for each Zap, so failures go unnoticed until a client complains.
  • Building long, fragile Zaps with many steps where a small change in one app breaks everything.
  • Running AI steps on every record when only a few need it, which adds cost and noise.

When not to automate

If a workflow runs a few times a month, a checklist may beat a Zap. If you need thousands of runs a day, complex branching, or data that must stay on your own servers, Make or a self-hosted n8n may fit better. Also check whether your CRM or accounting tool already does it natively.

Common questions

Zapier, Make or n8n?

Zapier is easiest for non-technical staff and has the widest app list. Make handles visual, branching scenarios at lower cost per operation for many workloads. n8n suits firms with technical help that want self-hosting. Check current pricing for your expected volume before choosing.

Can we use Zapier with ChatGPT or Claude?

Yes, Zapier connects to both and has its own AI steps. Be careful what you send: strip client identifiers where you can, use business accounts with appropriate data terms, and avoid sending health, legal or financial details unless your agreements allow it.

How do we keep Zaps from breaking silently?

Name each Zap clearly, list an owner, turn on error notifications to a shared inbox or channel, and review the run history monthly. A one-page register of every automation is the single most useful control.
