AI automation for Jane App

Jane is used by physiotherapy, chiropractic, massage, counselling and multidisciplinary clinics for booking, charting and billing. The time sink for practitioners is charting after hours. For front desk staff it is waitlists, cancellations and insurance paperwork. Jane already handles a lot of booking automation, so AI is most useful on documentation.

Jane's AI Scribe drafts chart notes from session recordings or dictation using a Smart SOAP Note chart part and customizable prompts. Jane says AI Scribe is built in-house, designed for HIPAA, PIPEDA and GDPR compliance, and that recordings are not used to train models. Practitioners review and edit every note before signing. We did not find a Zapier app, so outside connections need care.

Practical automations

Draft SOAP notes with AI Scribe

Record or dictate sessions and let AI Scribe draft the chart note. The practitioner edits and signs, and tracks how often notes need major correction.

Custom note templates

Build templates per discipline so drafts match how your clinic documents. Review template prompts quarterly with senior clinicians.

Consent workflow for recordings

Add a clear consent step before any session is recorded, and record the patient's choice in the chart. Staff check consent before each recorded visit.

Waitlist and cancellation fill

Use Jane's built-in waitlist and online booking to fill cancelled slots. Measure utilization rather than adding new tools.

Plan-of-care rebooking prompts

Flag patients who stop booking before their plan of care ends, and have front desk staff reach out personally.

Internal FAQs for front desk

Keep a short, approved answer bank for insurance and policy questions, with no patient data in tools outside Jane.

Pitfalls to avoid

  • Signing AI-drafted notes without reading them, which puts clinical accuracy and billing compliance at risk.
  • Recording sessions without a consistent consent process.
  • Exporting patient lists into marketing tools that are not covered by a BAA.

When not to automate

If practitioners already finish notes during the session, AI Scribe may add a review step without saving time. Some patients will not want sessions recorded, and that choice should be easy to honor. Do not move patient data into Zapier or general AI tools to work around a missing connector.

Common questions

What is Jane AI Scribe?

AI Scribe is Jane's built-in feature that turns a session recording or dictation into a draft chart note, using templates and a customizable prompt. Practitioners review and edit before signing. Jane offers a limited number of free notes per month to try it; check current pricing for full use.

Is AI Scribe HIPAA compliant?

Jane states that AI Scribe is built in-house, compliant with HIPAA, PIPEDA and GDPR by design, and that data and transcripts are not used to train AI models. Your clinic still needs its own HIPAA policies, a consent process for recordings and a review step before notes are signed.

Can Jane connect to Zapier?

We did not find a Jane app on Zapier. Jane covers booking, reminders, charting and payments natively. For outside reporting, use Jane's exports carefully and keep patient-identifying data out of tools without a BAA.
