AI automation for Microsoft Teams

Teams is where many law, engineering and insurance firms hold client meetings, internal standups and project chats. Every one of those meetings produces decisions and tasks, and most of them vanish when the call ends. Capturing them reliably is the most practical AI use in Teams, followed by routing approvals and alerts.

Teams recaps can include the recording, transcript, shared files, notes and follow-up tasks for recorded or transcribed meetings. Intelligent recap is part of Teams Premium, an add-on, while Copilot in Teams summarizes discussion and suggests action items for licensed users. Power Automate connects Teams to SharePoint, Outlook and many outside tools.

Practical automations

Client meeting recap to CRM

After a recorded client meeting, the recap's action items are copied to the client record in Dynamics 365, HubSpot or Salesforce by the meeting owner, who corrects names and dates first.

Project standup summaries

Recurring project meetings produce a short summary posted to the project channel, so people who missed it know what changed without watching the recording.

Approval cards

Power Automate posts approval cards in Teams for purchase requests, proposal sign-offs or time-off, with the key details summarized so managers can approve from their phone.

Help desk channel triage

Staff IT or facilities requests posted in a channel are classified and logged to a list or ticketing system, which makes it clear who owns each one.

Late-joiner catch-up

Licensed users can ask Copilot during a meeting what they missed, which reduces the 'can you recap' interruptions in long client workshops.

Pitfalls to avoid

  • Recording or transcribing client calls without clear notice, which raises consent and privilege questions for law and advisory firms.
  • Keeping every recording forever because no retention policy was set.
  • Assuming Teams Premium and Copilot features are the same license; they are sold separately.

When not to automate

If most client meetings are in person or by phone, Teams AI will capture little of what matters. A short structured note template after each meeting, filled in by the person who ran it, may do more than any license.

Common questions

Do we need Teams Premium or Copilot for meeting summaries?

Microsoft lists intelligent recap under Teams Premium, an add-on, and separately offers Copilot in Teams for licensed users. Basic recaps with recording and transcript are available without either. Check current licensing with Microsoft or your IT provider before buying.

Are AI meeting transcripts a risk for law firms?

They can be. Transcripts may be discoverable and could affect privilege if shared carelessly. ABA Formal Opinion 512 covers lawyers' duties when using generative AI. Talk to your ethics counsel and set retention and sharing rules before turning transcription on for client matters.

How do we measure value?

Track how many meetings end with written action items, how long follow-up emails take to go out, and how often tasks from meetings are completed on time. Sample a few recaps each month to check accuracy.
