n8n appeals to firms that want more control over where data goes, either because of client confidentiality or because per-task pricing elsewhere got expensive. It can run in n8n's cloud or on your own server. It is also more technical than Zapier or Make, so it fits best when you have an IT provider or staff member willing to own it.
InTheory is independent and not affiliated with n8n. Product names are trademarks of their owners.
n8n's AI Agent node lets you connect a chat model, such as OpenAI, Anthropic or Google, to one or more tools, and the agent decides which tools to call. At least one tool must be connected. n8n also supports memory and connecting MCP servers as tools. That is useful, and it also means agent behavior needs testing and logging before it touches client data.

Incoming tickets are classified, matched to the client's contract tier and enriched with recent ticket history before a technician picks them up.
New client intake forms are checked for missing items, a checklist of outstanding documents is drafted, and the coordinator approves the request to the client.
Closed deals in the CRM create customers and draft invoices in QuickBooks Online or Xero, with mismatches flagged instead of guessed.
Nightly checks look for duplicate clients, missing billing contacts or unassigned jobs across systems and send one summary to the operations lead.
If you have no technical owner, n8n will likely become an unmaintained server. Choose a hosted tool like Zapier or Make instead. Also skip it for simple app-to-app tasks where the native integration already works.
It can be, because data stays on systems you control, but only if those systems are patched, backed up and monitored. For many small firms, n8n's cloud or a managed host is safer than a server nobody maintains. Decide based on who will run it.
Tasks where the steps vary, like deciding whether a request needs a lookup in the CRM, a calendar check or a handoff to a person. For fixed steps, a normal workflow is cheaper and more predictable. Log every agent run while you test.
n8n gives more control and can cost less at volume, but needs more technical skill. Zapier is quicker for non-technical staff. We would choose based on your data sensitivity, expected volume and who will maintain it, then confirm current pricing.
