AI automation for Asana

Asana is common in professional services firms that run many concurrent client projects: consultancies, agencies, architecture studios. Projects usually start well and drift. Intake is inconsistent, tasks lack owners, and the partner finds out a deadline is at risk the day before it is due.

Asana's AI Studio is a no-code builder for AI automations. You set a trigger, such as a new task or form submission, write plain-language instructions to check, classify or route work, and let it run. Asana says AI Studio is available on Starter, Advanced, Enterprise and Enterprise+ plans, with a basic tier included on paid plans. AI Teammates handle more complex collaboration.

Practical automations

Intake completeness check

A new request form submission is checked for missing information, such as budget, deadline or approver, and sent back to the requester with a list of what is missing.

Routing to the right team

Requests are classified by type and moved into the right project with the right assignee, so the operations lead stops sorting them by hand.

Risk and slippage alerts

Tasks with approaching deadlines and no recent activity are flagged to the project lead with a short summary of what is blocking them.

Stakeholder roll-ups

A weekly summary across a portfolio of client projects is drafted for partners, covering milestones hit, at risk and coming up.

Kickoff checklist from a signed proposal

When a proposal is signed in PandaDoc or DocuSign, Zapier or Make creates an Asana project from the right template with tasks and owners.

Pitfalls to avoid

  • Automating intake routing before the team agrees on request types and owners.
  • Letting AI-generated summaries go to clients without the project lead's review.
  • Creating many small AI workflows that overlap and assign the same task twice.

When not to automate

If your team uses Asana as a to-do list and real project tracking happens in email, AI Studio will not change that. Get agreement on how projects are run in Asana before automating. For a team of three, a well-structured template may be all you need.

Common questions

Is AI Studio included with Asana?

Asana says a basic tier of AI Studio is included on paid plans with rate limits, and paid Plus and Pro tiers add capacity. Check current pricing and plan details with Asana before building many workflows.

What data does Asana AI see?

Asana says its AI partners, OpenAI and Anthropic, do not use customer data to train models, and that you can control what data AI references in a workflow. Review admin settings and limit AI to projects where client confidentiality allows it.

How would we measure success?

Time from request to assignment, percentage of tasks with owners and due dates, and on-time milestone delivery. A monthly look at the numbers shows whether automation is helping or just adding notifications.
