What is speed to lead?
By the InTheory team · Updated November 2026
Speed to lead is the time between a prospect contacting your business and receiving a real response, whether by phone, text or email. It is usually measured in minutes. Service businesses track it because enquiries often go to whichever firm replies first, and slow replies after hours or on weekends quietly lose work.
How to measure it
Pull the last 50 enquiries from your web forms, phone system and email. For each, record when it arrived and when someone first replied with something useful. An automatic "we got your message" does not count. Report the median and the slowest quarter separately, and split by source and by business hours versus after hours. The after-hours number is often the surprise.
How businesses shorten it
Route every enquiry into one place, such as the CRM, rather than several inboxes. Send an immediate, specific acknowledgment with a booking link. Alert the right person by text, with clear rules for who covers evenings. For calls, consider an answering service or AI intake that captures details and books appointments, with a person following up.
Measure booked appointments as well as response time. A faster reply only matters if it turns into more conversations. InTheory would baseline both before changing anything.
