What is CRM data hygiene?
By the InTheory team · Updated November 2026
CRM data hygiene is the ongoing practice of keeping customer and opportunity records accurate, complete, consistent and free of duplicates. It covers merging duplicate contacts, filling required fields, standardizing values like lead source and stage, and removing stale records, so reports and automations based on the CRM can be trusted.
Why it matters before any automation
Automation and AI act on whatever is in the CRM. If one client appears three times, a renewal reminder goes out three times. If lead source is blank on half the records, you cannot tell which marketing works. If deal stages mean different things to different salespeople, the pipeline report is fiction. Cleaning data is unglamorous, but it is often the highest-value first step.
A practical cleanup routine
Agree on definitions first: what counts as a lead, an opportunity and each stage. Make a few fields required and use picklists instead of free text. Run a duplicate merge, then archive contacts with no activity in years after checking retention rules. Assign an owner to every open deal.
Then keep it clean with small habits: a monthly duplicate check, a weekly review of deals with no next step, and form fields that map directly to CRM properties. Track the share of records with key fields complete and the count of open deals with no activity in 30 days.
