Question

What does an AI automation consultant do?

By the InTheory team · Updated November 2026

An AI automation consultant redesigns repetitive work so software handles the routine steps and people handle the judgment. They connect tools such as your CRM, email, forms and accounting system, often with Zapier, Make or n8n, and add AI steps for tasks like drafting replies, extracting data from documents or summarizing calls.

Typical projects

Sending an instant, personal reply to every web enquiry and alerting the right salesperson. Pulling fields from intake PDFs into a practice management system. Turning call notes into CRM updates and follow-up tasks. Reminding clients about unpaid invoices on a polite schedule. Each one removes copying, chasing or retyping that staff do dozens of times a week.

How it differs from general AI consulting

Automation consultants are usually more hands-on and narrower. They build specific flows rather than set strategy. That is valuable, but someone still needs to decide which flows matter most and to own them when a connected app changes and something breaks.

Ask who will maintain each automation, where errors get reported and which steps need human approval. Prices, client communications and anything with legal or financial weight should still be reviewed by a person before it goes out.
