How do you automate the client onboarding process?

By the InTheory team · Updated November 2026

You automate client onboarding by starting everything from one trigger, such as a signed agreement, then generating a standard checklist, sending the welcome message and document requests, creating the client in each system, and reminding both sides until each item is done. A named person still owns the relationship and checks completeness.

The building blocks

A clear list of what every new client must provide and what your team must set up. An e-signature step that marks the deal won. A client portal or secure upload link for documents. Automatic record creation in your practice management or project system, such as Karbon, Clio or a project board, so nobody retypes names and addresses. Reminders for missing items on a sensible schedule.

Keep the human parts human

A welcome call, a kickoff meeting and a check-in after the first deliverable build trust that automation cannot. Use automation to remove the chasing so those conversations happen on time.

Handle documents carefully. Tax returns, health records and legal files need secure collection, not email attachments. Measure days from signed agreement to first billable work, the number of reminder emails per client and early cancellations. For example, an accounting firm might aim to cut the time to a complete document set from weeks to days.
