Question

How do you train employees on AI?

By the InTheory team · Updated November 2026

Train employees on AI with short, role-specific sessions built around their real tasks, not generic demos. Teach the approved tools, what data must never go in, and how to check output. Follow up after two to four weeks to see who is using it, where it fails, and what to change.

Make it about their job

A bookkeeper, a dispatcher and an account manager need different examples. Bring three or four real tasks to each session: reconciling a confusing vendor statement, rewording a delay notice to a customer, summarizing a long email thread before a client call. Let people try them with the approved tool while someone experienced shows how to write clear instructions and how to spot a wrong answer.

Policy, practice and review

Pair training with a one-page policy: approved tools, data that stays out (client identifiers, health records, privileged material), and who reviews output before it reaches a client. Name a go-to person for questions.

Then measure adoption. Look at usage reports where the tool provides them, ask staff which tasks got faster, and collect mistakes so the next session addresses them. Training is not a single event. InTheory builds team sessions and usage reviews into the Embedded plan for this reason.
