Question

How much does AI automation cost for a small business?

By the InTheory team · Updated November 2026

AI automation for a small business typically costs from about $1,200 to set up a single system plus around $250 a month, up to $3,000 to $15,000 for a defined project in the Denver market. Software subscriptions are extra. The price depends on how many systems connect, how messy the data is and how much review the output needs.

What pushes the cost up

More connected systems, older software without good integrations, inconsistent data and regulated information all add work. So does anything that needs careful testing, such as AI that drafts client letters or reads intake forms. A simple flow from a web form to a CRM with an instant reply is cheap. A flow that reads scanned documents and updates three systems is not.

Costs that come later

Monthly fees for automation tools, AI usage charges, and maintenance when a vendor changes its app. Budget a small amount of time each month for someone to check that flows still run and to handle exceptions.

Is it worth it

Work it out before you spend. For example, if an automation saves an office manager four hours a week at $35 an hour, that is about $7,000 a year, before tool costs. InTheory starts by measuring the current time and error rate so the decision rests on your numbers. Sometimes the answer is a settings change that costs nothing.
