Question

Copilot vs ChatGPT: which is better for business?

By the InTheory team · Updated November 2026

Microsoft 365 Copilot is usually the better fit if your business already runs on Outlook, Teams, Word, Excel and SharePoint, because it works inside those apps with your existing permissions. ChatGPT Business is often better as a flexible standalone assistant for writing, analysis and research. Many firms test both with real tasks before choosing.

Where each tends to fit

Copilot sits inside Microsoft 365, so it can summarize a Teams meeting, draft a reply in Outlook from the thread, or analyze a spreadsheet you already have open. It respects the file permissions you have set, which also means messy SharePoint permissions become a real risk. Clean those up first.

ChatGPT works across any workflow, regardless of where your files live, and is popular for drafting, reasoning through problems and building custom assistants. It suits Google Workspace shops and teams that work across many tools.

How to decide

Pick five real tasks, such as summarizing a client email chain, drafting a proposal section and analyzing a job cost report. Run each through both tools with a small group for two weeks and score accuracy and time saved. Check admin controls, data terms and current pricing for each plan.

Whichever you choose, write a usage policy and train people on it. InTheory is vendor-neutral and can run this comparison as part of a 90-day engagement.
