How do you automate lead follow-up?
By the InTheory team · Updated November 2026
You automate lead follow-up by sending every enquiry into one CRM, replying immediately with a useful message and booking link, alerting a named owner, and running a short follow-up sequence that stops as soon as the prospect responds. People handle the actual conversation and pricing. Measure response time and booked appointments.
A simple follow-up setup
Connect web forms, call tracking and email enquiries to your CRM, such as HubSpot, so nothing lives in a personal inbox. Trigger an instant reply that names the service requested and offers times to talk. Create a task for the assigned person with a deadline. If there is no reply, send two or three follow-ups over about ten days, each with a different useful point, then close the record with a reason.
Where AI fits and where it does not
AI can draft a tailored first reply from the details in the form, summarize a voicemail or suggest the next message based on earlier notes. A person should still review anything that quotes price, scope or availability.
Watch for over-automation: too many messages, generic wording, or follow-ups that continue after someone books. Check opt-out handling for texts and email. Track time to first response, reply rate and lead-to-appointment rate before and after the change.
