What is workflow automation?
By the InTheory team · Updated November 2026
Workflow automation is using software to carry out the routine steps of a business process automatically: moving information between systems, creating tasks, sending reminders and updating records when something happens. It replaces copying, pasting and chasing with rules, so people spend their time on decisions and conversations instead.
How it works
Every automation has a trigger, such as a form submitted, a deal marked won or an invoice overdue, and one or more actions, such as creating a client record, sending an email or posting a task to a team channel. Simple versions live inside a single app. Others span several apps using tools like Zapier, Make or n8n. AI adds steps that read or write text, such as extracting fields from a PDF or drafting a reply.
What makes it succeed
A clear, agreed process. Automating a messy process just produces mess faster. Clean data, an owner for each automation, and a visible place where errors appear so nothing fails silently.
Start with one process that runs many times a week and has obvious hand-offs, such as a new enquiry becoming a booked appointment. Measure time per task and errors before and after. InTheory looks for settings in tools you already own before adding anything new.
