Certificate and document review
Uploaded certificates of insurance or licenses are read by a field agent that extracts expiry dates and coverage limits. Staff confirm before a subcontractor is approved.
Airtable fills the gap between a spreadsheet and custom software. Service firms use it to track things their main systems do not handle well: subcontractor compliance, property inspections, recruiting pipelines, grant applications. Because it is easy to change, it often becomes critical without anyone planning for it.

Airtable's AI includes Omni, an assistant that helps build apps, analyze data and update records, and field agents, which are AI-powered fields that retrieve, analyze or generate data for each record. Airtable says AI in fields is on all paid plans and needs AI credits and workspace-level enabling. That makes it practical for batch review work that used to need a person reading each row.

Records with documents expiring in the next 30 days trigger reminder emails to the vendor or staff member and a summary to the coordinator.
A long text field agent summarizes notes and history on a record, such as a candidate or a property, so the next person gets up to speed quickly.
Requests submitted through an Airtable form are tagged by type and priority, then routed to the right view or owner.
AI suggests which client, property or project a new record belongs to, reducing mismatched links. A person accepts or corrects the suggestion.
If what you need already exists in your practice management or field service software, use that instead of a parallel Airtable base. Airtable is best for real gaps, not for duplicating a system you already pay for.
Airtable says AI in fields needs AI credits and must be enabled at the workspace level, on paid plans. Credit allowances and pricing change, so check current pricing and test on a small table to estimate usage before rolling out.
Sometimes for very small teams, but it usually ends up rebuilding features that a CRM or job tool already has. We would use Airtable for gaps, like vendor compliance, and integrate it with the main system rather than replace it.
Review a sample of 20 to 50 records after each change to a field agent prompt, and track how many needed correction. Keep a person approving any record that triggers an action, such as approving a vendor.
