Stop retyping customer POs and certs into your ERP

Customer purchase orders arrive as PDFs in every possible layout. Someone in customer service opens each one, checks the part number and revision against the quote, types line items, quantities, prices and due dates into the ERP, and files the PDF. Material certs and outside processing certs come in the same way and have to be matched to the right job for the traveler and the ship packet.

How it often works today
  • Customer service spends hours a week keying PO line items into the ERP, more at month and quarter end when buyers release orders.
  • Revision mismatches between the PO, the quote and the drawing are caught late, sometimes after material has been cut.
  • Material and processing certs are saved to a shared drive by job number when someone remembers, and are hunted down at shipping.
  • Acknowledgements go out days after the PO arrives because order entry is batched around other work.

We would measure how many documents your team handles each week and how often errors reach the floor. Then we would set up extraction for the most common document types, so the data lands in a review screen and staff confirm or correct it before it posts to JobBOSS, E2, Epicor or whichever system you run.

The improved workflow

Collect documents in one inbox

Route POs, certs and packing slips to a shared mailbox or folder so nothing sits in a personal inbox and every document is processed in order.

Extract the key fields

Pull customer, PO number, part number, revision, quantity, price and requested date from each PO, and heat number and spec from each cert.

Check against the quote and item master

Compare extracted data with the quote and the ERP item master, and highlight mismatches in revision, price or quantity for a person to resolve.

Confirm and post

Customer service reviews the draft order, corrects anything flagged and posts it to the ERP, then sends the acknowledgement with confirmed ship dates from the scheduler.

File certs to the job

Attach matched certs to the job record automatically, and flag certs that cannot be matched so receiving or quality can investigate.

What we would measure

Minutes per PO entered

The direct time saved in customer service.

Order entry errors caught after release

Errors that reach the floor cost material, machine time and delivery dates.

Time from PO received to acknowledgement

Buyers notice how quickly orders are confirmed.

Certs missing at shipping

Missing paperwork holds shipments and frustrates quality-focused customers.

Where people stay in control

  • No order posts to the ERP without a person confirming the extracted fields.
  • Price or revision mismatches with the quote are resolved by the estimator or account owner, not automatically accepted.
  • Customer documents are processed only in tools approved by your quality lead, with NDA and export-control data kept on approved systems.
Example

Illustrative: a month-end PO rush

For example, a contract manufacturer receives around 60 POs in the last week of a quarter. With extraction in place, each PO opens in a review screen with fields filled in and two flagged: one revision B part quoted at revision A, and one price that differs from the quote. Customer service resolves both with the account owner before posting. Certs from the anodizer attach to their jobs automatically. These numbers are illustrative.

What the first 30 days look like

In the first 30 days we would count POs and certs by customer for a typical month, review recent order entry errors, test extraction accuracy on a sample of real documents and agree a review screen and acceptance criteria with customer service and quality.

Common questions

What if every customer's PO looks different?

That is normal. Modern extraction tools handle varied layouts better than older template-based OCR, but accuracy still varies. We would start with your highest-volume customers, measure field accuracy on real documents and keep a person reviewing every order. Unusual formats can stay manual if extraction is not reliable.

Can this connect directly to our ERP?

It depends on the ERP and version. Some have import tools or APIs, others need a CSV import or careful automation. We would check what yours supports during the first month. Where a direct connection is risky, a reviewed import file is often the safer option.

Does this help with AS9100 or ISO 9001 records?

It can help keep certs and order records complete and filed consistently, which supports audits. It does not replace your quality system or document control procedures. Any change to how records are handled should be reviewed by your quality manager and reflected in your procedures.

What this workflow costs today

a month in staff time, before any lost sales

Monthly fee + assumed tools +
Break-even: new clients a month (at first-year value)
Or: staff hours recovered and redeployed
Break-even additional revenue
Value of +1 point of win rate
First 90 days, service fee

Illustration only, not a forecast or guarantee. Recovered staff time becomes a cash saving only if spending actually declines or the time goes into paid work. Tool costs are an assumption; we replace every number here with yours before recommending a scope.
